Once we receive your eligibility form, we verify your child's insurance and set up a call to walk you through each step of getting started. During this call, we ask about your child's conditions, care team, recent doctor visits, typical schedule so we understand their specific needs. You'll receive two short forms to sign, and from there we handle requesting medical records and the PDN order on your behalf — you don't have to chase anything down yourself. Only children under the age of 21 are eligible for our Private Duty Nursing services.

Using your signed release, our intake team gathers records from your child's full care team (pediatrician, specialists, etc.) and works with their clinical team to request a PDN order for services. Once that referral comes in, we schedule an admission visit within 2 business days. A clinician completes a full assessment during that visit to build a care plan for physician review and signature — this is usually returned within about a week.

Once the care plan is signed, we submit the authorization request to your insurance. Turnaround varies by payer, typically ranging from about 4 to 14 business days.

As soon as authorization comes through, we begin matching your child with qualified nursing staff based on your schedule and their care needs, and services begin as soon as a nurse is in place. Timing depends on your insurance and staffing availability, but as a general guide: the full process from referral to a nurse starting typically runs about 2–4 weeks — assessment and care plan within 1–2 weeks, then insurance approval within 4–14 business days.
